- Identity data: your full legal name, National ID number, Passport number, KRA PIN, and (for corporate clients) company registration details, directors, and beneficial owners.
- Contact data: your physical address, telephone number, and email address.
- Financial data: source of funds information, bank account details (where relevant to your matter), billing, and payment records.
- Matter data: your legal instructions, case information, correspondence, documents, court records, and any other information you share with us in connection with your legal matter.
- Sensitive personal data: we may process sensitive personal data (such as health information, immigration status, or criminal records) where directly relevant and necessary for your matter. We will always tell you when we need to process this type of data.
We process your personal data for the following purposes and on the following lawful bases:
- To provide legal services to you — lawful basis: performance of a contract.
- To verify your identity and conduct Anti-Money Laundering (AML) checks as required by law — lawful basis: legal obligation (POCAMLA 2009).
- To manage billing and collect payment for our services — lawful basis: performance of a contract; legal obligation (tax laws).
- To comply with our professional obligations as Advocates of the High Court of Kenya — lawful basis: legal obligation (Advocates Act Cap. 16).
- To communicate with you about your matter and our services — lawful basis: legitimate interests / contract.
- To maintain records as required by law — lawful basis: legal obligation.
We share your personal data only where necessary and only with:

- Our technology service providers (Thread Legal and Microsoft) process data on our behalf as Data Processors under strict data processing agreements.
- The Financial Reporting Centre (FRC) — where we are legally obliged to report under POCAMLA 2009.
We do not transfer your personal data outside Kenya except where necessary for your matter and appropriate safeguards are in place.
We retain your personal data for as long as necessary for the purposes for which it was collected, and in accordance with our legal and professional obligations. As a general guide:
- Active client matter files: for the duration of the matter.
- Closed litigation files: 15 years from closure.
- Closed conveyancing / title files: indefinitely (title documents are permanent legal records).
- Closed general matter files: 7 years from closure.
- AML / KYC records: 7 years from the end of the client relationship.
